Summary:

The primary role of the Events Administrator is to provide support logistics for the world competitions logistics teams.

This position relies heavily on attention to detail, technical writing, and thorough knowledge of systems. This role has a strong focus on competition logistics, including creating and updating templates and tools related to competition administration. The role also supports the competition network, including communication to stakeholders (competitors, coaches, judges, etc.) for world championships. The role will also include liaising with rules & regulations committees.

Essential Functions:

  • Coordinate and communicate to event participants, to clarify their participation. This includes building rosters, orientation emails, arranging visa letters, and communicating all logistics, as appropriate.
  • Complete event agendas.
  • Liaise with Competitions Director, Events Team, and Host, and/or National Body to ensure that all logistics requirements are met.
  • Ensure supply list, sponsor tracking, and shipment arrangements are communicated and fulfilled.
  • Liaise with committees and volunteers (including emcees and/or stage managers), to ensure that they have all support items and information, required for their role.
  • Meet all deadlines.
  • Support production management of stage.
  • Ensure sponsorship deliverables are communicated and executed on stage.
  • Maintain and improve tools, documents, and processes related to competitions (and other events) coordination.
  • Proactively identify potential issues, and troubleshoot with resolutions and alternative plans.
  • Support the organization of other events, as required.
  • Manage and train other people when necessary (volunteer managers, other colleagues).

Qualifications & Experience:

  • Must be a team player and demonstrate excellent oral and written communication skills, and have a professional demeanor
  • Must be extremely proficient with organizational software, including a high aptitude for excel spreadsheets and formulas.
  • Must enjoy working with diverse groups, in many cultures. Can modulate tone and content, with respect to diversity.
  • A high level of attention to detail and conscientiousness required.
  • Minimum 2 years administration, coordination, or operations experience.
  • Experience with trade shows or similar professional meeting environments a plus.
  • Minimum 2 year direct customer service experience.
  • Experience in the coffee, beverage or foodservice industries a plus.
  • Competition experience a plus.
