Success in this role includes
Taking on the initiative and responsibility for managing live events through the full cycle of production: concept development, logistics and planning, onsite execution, and liaising with various stakeholders.
Coordinating and communicating to event participants, building rosters, orientation, visa letters, and logistics, as appropriate.
Liaise with Events Team, Host, and/or National Body to ensure logistics requirements are met.
Ensure supply list, sponsor tracking, and shipment arrangements are communicated and fulfilled.
Liaise with volunteers (including emcees and/or stage managers), to ensure that they have all support items and information, required for their role.
Meet all deadlines.
Facilitate onsite problem resolution.
Support production management of stage.
Ensure sponsorship deliverables are communicated and executed on stage.
Maintain and improve tools, documents, and processes related to competitions (and other events) coordination.
Liaise with committees and WCE Reps, when relevant to event management.
Proactively identify potential issues and troubleshoot with resolutions and alternative plans.
Support the organization of other events, as required.
Help develop ideas, logistics, and templates for new events.
Manage and train other people when necessary (volunteer managers, other colleagues)
Design floor plans.
Create logistics briefing documents for events.
Provide feedback on all events, and present event evaluations to the Events Team.
Duties, responsibilities and activities may change or develop and are subject to amendment at any time based on association and departmental needs.
Minimum of 2 years of experience in specialty coffee industry
Proven success managing workload and schedules
Ability to effectively problem-solve anticipated and immediate challenges
Proficient in MS Office suite, cloud systems and project management tools
Exceptional customer service and communication skills (both verbal and written)
Project management, events coordination, trade shows, and team collaboration a plus
